Creative Traffic Manager

Part of the ICF International network, ICF Mostra is located in Brussels, Belgium and currently employs 140 people made up of 15 different nationalities.
The Creative Traffic Manager is responsible for managing the traffic related to creative & strategic services. He/she ensures that the creative process is respected and efficiently implemented throughout a project life cycle; within the agreed planning and budget scope. He/she also actively contributes to the coordination of the creative and strategic team on a project basis.
Furthermore, the successful candidate will act as the agency’s art buyer and will be responsible for developing the database of creative and strategic freelancers.
§ Manage the full strategic and creative process and ensure it is respected throughout the project implementation (reviews, approvals) and that key decision makers are involved when needed.
§ Assign tasks/projects to members of the team based on executive creative director’s recommendations and follow up on status of assigned tasks.
§ Plan strategic and creative work and define with project manager and executive creative director key project milestones (external/internal).
§ Ensure tasks are performed within agreed timeline and budget by clearly communicating framework (budget, timing) to assigned resources.
§ Flag any deviation from agreed plan and budget to project manager and, if needed, escalate to executive creative director and sub lob lead.
§ Own and update strategic and creative resource planning. Based on information retrieved from the planning, the traffic manager should regularly inform sub lob lead and executive creative director of upcoming needs, risks and issues.
§ Organise and conduct weekly meetings with team to discuss projects status and planning as well as potential issues and risks related to projects (workload, deadlines and costs).
§ Organise and conduct monthly meetings with project managers to discuss project status and forecast work to come.
Art buying and development of freelancers databases
§ Sources external collaborators (strategists, art directors, copywriters, illustrators and any other profile that could be of an interest to the strategic and creative team) with the aim of developing the agency’s database of creative and strategic freelancers.
§ Build up files (portfolios, availability, expertise, day rate) on potential collaborators, keep them up to date and maintain relationships with collaborators.
§ Regularly present findings to executive creative director and set up interviews, if requested.
§ Develop a good understanding of the executive creative director’s vision.
§ Negotiate fees and rights to use with external collaborators in the agency’s best interest.
Financial and administrative tasks
§ Monitor costs on a project basis and provide regular job costing reports to project managers.
§ Anticipate budget deviations.
§ Prepare cost estimates related to strategic and creative work.
§ Provide input at the offer development stage by preparing cost estimates related to strategic and creative tasks and submitting them in due time to proposal coordinator.
§ Collect appropriate expense and timesheet reports to ensure jobs are being completed and invoiced correctly.
§ Issue POs according to company guidelines and liaise with procurement team when needed.
§ Excellent understanding of the creative and strategic work and processes.
§ Self-motivated, self-directed and ability to work on own initiative, “can do” attitude.
§ Strong problem solving, analytical, organisational and planning skills.
§ Strong administrative and negotiating skills.
§ Fluent in English (written and verbal). French desirable.
§ Excellent verbal, interpersonal, and written communication skills.
